Transferring Your UK Pension to Canada: The Paperwork, Stage by Stage

Moving a UK workplace pension into a Canadian QROPS RRSP involves your UK pension scheme, a Canadian receiving scheme, HMRC rules and, for most Defined Benefit pensions, a UK-regulated adviser. It sounds like a lot of paperwork, and it is. The good news is that you sign a handful of forms and we handle the rest.

This page sets out every document involved, who is responsible for each stage, and where transfers typically slow down. For the overview, see the full transfer journey.

Before Any Paperwork: Three Checks

Simon Huften is a QROPS specialist – not a general financial planner. That exclusive focus matters when you are transferring a pension that took a career to build.

You.

You are a Canadian resident aged 55 to 70. The UK minimum pension age rises from 55 to 57 on 6 April 2028 for most people, so if you are in your mid-50s, timing matters. Read more about the age 55 rule.

Your pension

Most UK private and workplace pensions can be transferred, both Defined Benefit (final salary) and Defined Contribution. The UK State Pension cannot be transferred, though you can still receive it in Canada. Check your eligibility.

The receiving scheme.

The Canadian scheme must be on HMRC's list of recognised overseas pension schemes. HMRC updates this list twice a month. We confirm the scheme's current listing and its HMRC reference number before anything is submitted.

Who Does What: Your Transfer at a Glance

If you have passed your 55th birthday and have not yet reached 70, your QROPS transfer window is open. You meet the age criterion. Combined with a UK employer pension and permanent Canadian residency, you are eligible to begin. The only remaining question is whether you have started.

Here is what your transfer timeline looks like from today, depending on your pension type:

The Stages in Detail

01

Your Free Review Call

We confirm the basics and, just as importantly, whether transferring is the right move for you. Sometimes it isn't. For example, a DB pension with valuable guaranteed increases might be better left where it is. If we think you should not transfer, we will tell you.

02

Letter of Authority

UK schemes will only speak to us with your written permission. You sign one letter of authority per scheme, and from then on we deal with the administrator directly, so you are not on hold to the UK at 4 a.m.

03

Transfer Value and Scheme Transfer Pack

We request your current transfer value and the scheme's overseas transfer forms. For a Defined Benefit pension this is a Cash Equivalent Transfer Value (CETV). It is usually guaranteed for three months from the date the scheme calculates it, so the remaining stages need to keep moving. We also ask about exit charges, market value reductions and any safeguarded benefits, such as guaranteed annuity rates.

04

Regulated UK Advice (Most DB Pensions)

If your pension includes safeguarded benefits worth more than £30,000, which covers almost every Defined Benefit pension we see, UK law requires you to receive advice from an FCA-authorised firm with pension transfer permission before the scheme can release the funds. We work with a UK-regulated partner for this step and hand over your file so you are not starting from scratch. Most Defined Contribution pensions skip this stage. Read more about Defined Benefit transfers and Defined Contribution transfers.

05

Opening Your QROPS RRSP in Canada

Your money is received into a QROPS-registered RRSP with {Industrial Alliance / iA Clarington}. You sign the account application and provide ID. We prepare everything else, including the HMRC reference letter the UK scheme will ask for.

06

Transfer Forms, APSS 263 and Scam Checks

You sign the UK scheme's transfer request and form APSS 263, the HMRC member information form for transfers to a QROPS. Since 2021, UK schemes must also run pension-scam checks on every transfer. If they raise an "amber flag", you may need a free MoneyHelper guidance appointment before the transfer can continue. This is routine and not a sign that anything is wrong. We prepare you for it so it doesn't cost you weeks.

07

Funds Arrive and Are Invested

The UK scheme wires the funds, and they are converted to Canadian dollars and credited to your QROPS RRSP. We confirm the amount matches the transfer value, then invest according to the plan we agreed with you. From here your pension is managed in Canada, in CAD, by someone you can actually meet. See how the RRSP side works.

Documents Checklist

Have these ready, and we will tell you exactly which ones your schemes need:

Canadian QROPS account application (we prepare it)

UK National Insurance number

Written UK advice report, for DB pensions over £30,000

Your SIN, for the Canadian account application

UK address history (some schemes ask for this)

Signed letter of authority, one per scheme (we provide it)

Pension scheme names, policy or member numbers and any recent statements

Written UK advice report, for DB pensions over £30,000

Photo ID (passport or Canadian driver's licence) and proof of your Canadian address

UK Tax Checkpoints on the Way Through

Overseas transfer charge (25%)

It does not apply when you live in Canada and transfer to a Canadian QROPS. It can apply if you leave Canada for a non-exempt country within five full UK tax years after the transfer.

Overseas Transfer Allowance

Transfers above £1,073,100 (unless you hold a protected allowance) are charged 25% on the excess. This is relevant for larger DB pensions, so we check it at stage 1.

Five-year reporting

For five full UK tax years after the transfer, the scheme reports certain events to HMRC. If you move abroad in that period, tell us.

Full detail is on our QROPS tax implications page.

On the Canadian Side

The transferred amount is reported to the CRA, and an offsetting deduction (under paragraph 60(j) of the Income Tax Act) is generally available when the funds go into your RRSP. {Simon/accountant to confirm wording.} We work with your accountant so your return reflects this correctly. Your RRSP must convert to a RRIF by the end of the year you turn 71, which is why transfers are completed by age 70.

What Commonly Slows a Transfer Down

A UK scheme taking weeks to issue a CETV or its transfer pack

The CETV guarantee running out while advice is pending

Missing signatures or an out-of-date address on file

A scam-check amber flag, which needs a MoneyHelper appointment

Several pensions held with several schemes. We run them in parallel.

What It Costs You

Nothing out of pocket for our work. We are paid by the Canadian investment provider, and we explain exactly how at your first call. Your UK scheme may apply its own exit charges, and DB advice is a separate UK service. Read what a transfer costs you.

It is an HMRC form that gives the UK scheme your personal details for a transfer to a QROPS. It is required on every QROPS transfer.

You do if your pension has safeguarded benefits worth more than £30,000, which covers most Defined Benefit pensions. We arrange this through a UK FCA-authorised partner.
